Job Purpose;

Working within the engineering project team, this role will support the day-to-day administration, coordination and documentation of project activities across the life cycle of numerous projects. This role supports project managers, and the project management delivery team, as an enabler to retaining structure and following process. This role also involves project-based administration as well as supporting continuous improvement initiatives across all engineering project activities. The post holder will be required to engage across the organisation, specifically with port operational business units, Contracts and Procurement, and the Asset Management Team.

• Provide tactical day to day administration duties to programme and project managers, to facilitate the effective collation, documentation and information control within projects.

• Collate asset data from inception through to close out of projects, ensure handover asset information packs are complete and to the standards required by the Asset Management team.

• Document and control project information, including but not limited to; Scopes of Works, Asset information, Work Instruction packs, Minutes of Meetings, Actions registers.

• Gather and collate data pertaining to project performance reporting into the assigned templates for review and distribution.

• Communicate as designated from time to time across the organisation regarding project information.

• Support programme and project managers in data inputs and updates within IFS and other systems as and when required.

• Coordinate scheduled program and project reviews, ensuring action registers are updated and communicated, minutes are documented and distributed timely.

• Ensure all project documentation is filed in the correct designated platform, and access and use is applied to the required audience.

• Will be required to source asset and engineering information across a number of platforms in support of project engineers.

• Will be required to contribute to efficiency and other initiatives with the project delivery work stream, adding ideas and value in support of continuous improvement in project delivery.

• Will play an important role in supporting organisational goals with the delivery of team and personal objectives. Will be expected to be proactive, self-managing, target driven, analytical, good at problem solving and an all round team player. The role has scope for some working from home in line with operational requirements and as agreed with the line manager.

Generic Duties;

• Any other duties assigned by the line manager from time to time. Such duties will be reasonable in relation to the jobholder’s skills set and abilities.

• To comply with environmental instructions and to identify potential risks to the environment, or areas where environmental impact can be reduced.

• To identify and manage risks, particularly those which affect safety, and to ensure that all tasks under your control are performed with the utmost regard for health and safety. To facilitate effective communication on risk and safety issues between the team and line management

Knowledge & Experience;

• A minimum of A Level or B Tech qualifications

• 1 – 2 years’ experience within a similar or related role

• Excellent Microsoft Office knowledge and experience

• Good/advance Excel Skills

• Planning skills, previous exposure to engineering/construction planning tools (would be desirable but not essential) Our Business (Practical Application)
